A 10-Stage Cash-Advance Deal Process Fully Automated, Saving Each Rep 4.5 Hours a Week
Applications moved through ten stages by email and memory. We automated every handoff, connected underwriting through a webhook, and wrote the governance so it stays that way.

Challenge
Funding a merchant took ten steps across sales, underwriting and funding teams. Reps tracked progress in email threads and updated HubSpot when they remembered. Leadership could not tell how many applications were stuck in underwriting, and reps spent hours a week chasing documents.
Approach
- Documented the ten stages with entry and exit criteria, then built a single deal pipeline around them.
- Automated every handoff: document-request sequences, underwriting webhook on stage entry, task creation for the funding team, and customer status emails.
- Added SLA timers per stage with escalation to a manager after 48 hours idle.
- Wrote a one-line description, owner and test record for each of the 38 workflows, and scheduled a monthly workflow review.
Results
- Every application now moves through all ten stages automatically; reps only act on tasks.
- 4.5 hours saved per rep per week, measured from activity logs before and after.
- Stuck-in-underwriting is a dashboard number rather than a guess.
AI-readiness impact
Readiness moved from 40 to 83. Workflow health and documentation went from the weakest area to the strongest, and lifecycle data is now a byproduct of the process rather than a manual update. The next step is a Prospecting Agent on declined-but-eligible applicants from 90+ days ago.
