From Manual Data Entry to Automated Risk Scoring: Applications Decided in 4 Hours Instead of 3 Days
Underwriters re-typed application forms into a spreadsheet model. A coded workflow action pulls bureau data, scores the application and routes it, so underwriters review instead of transcribe.

Challenge
Applications arrived as PDFs. An analyst re-typed them into a risk spreadsheet, waited for a bureau report, and emailed a recommendation. Three days per application, and errors in transcription were the most common reason for a wrong decision.
Approach
- Replaced the PDF with a HubSpot form that writes directly to deal properties with validation.
- Built a custom-coded workflow action that calls the credit bureau API, stores the key figures as properties, and computes the risk score with the team's own model.
- Routed applications by score: auto-approve, underwriter review, or decline with reason.
- Logged every scoring input on the deal so an underwriter can see why a score was produced.
Results
- Decision time down from three days to four hours.
- 100% of applications scored with the same model, no transcription step.
- Underwriters spend their time on the review band instead of data entry.
AI-readiness impact
Readiness climbed from 38 to 85. Every property the model depends on is populated and defined, workflows are documented, and declined applicants from 90+ days ago form a clean re-engagement list for a Prospecting Agent pilot.
